This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit or interact with our website and services. We operate in Canada and adhere to applicable privacy laws such as the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA). By using our website, you consent to the practices described in this Privacy Policy and agree to its terms. If you do not agree with this Policy, please refrain from using our Site or providing us with any personal information.

We only collect personal information that is necessary for the purposes identified in this Policy. The types of information we may collect include:

  • Personal Information: Identifiable information you voluntarily provide to us, such as your name, email address, phone number, or other details submitted via our contact forms or sign-up forms. For example, when you fill out our contact form, book a consultation, or request a free PDF guide or newsletter, you may be asked to provide your name and contact information.
  • Usage Data: Non-personal information collected automatically when you interact with our Site. This can include your IP address, browser type, device information, pages visited, and usage patterns collected through cookies or similar tracking technologies. This data does not directly identify you, but it helps us understand how visitors navigate our website and improve our services.

We do not knowingly collect personal data from anyone under the age of 13. Our services are not directed to children, and we do not intentionally gather information from individuals under 13 years old. If you are a parent or guardian and believe your child has provided personal information without your consent, please contact us. Upon becoming aware of it, we will promptly delete such information from our records.

We also use data to operate, maintain, and improve our website and services (for example, troubleshooting technical issues or analyzing usage trends to enhance user experience).
  • Communication and Support: To communicate with you about your inquiries, appointments, or any services you have with us. This includes providing customer support and answering your questions or requests.
  • Marketing and Newsletter (With Consent): To send you promotional materials, fitness tips, updates, or newsletters only if you have submitted your email on our website or a web form. For instance, if you subscribe to our email newsletter or download a free PDF, we will use your email address to send you that content and occasional updates about our services. We comply with Canada’s Anti-Spam Legislation (CASL), which means we obtain your consent before sending commercial emails and include an easy unsubscribe option in every message. (You can withdraw your consent at any time – see Your Rights and Choices)
  • Analytics and Personalization: To analyze website traffic and user behavior on our Site so we can improve functionality and content. Non-personal usage data helps us understand what content is most useful to visitors and to personalize your experience. For example, we may analyze which pages are visited most often or how users engage with our site, in order to refine our offerings.
  • Advertising and Retargeting: To measure the effectiveness of our advertisements and deliver relevant ads. We may use third-party advertising tools (such as the Meta Pixel, formerly Facebook Pixel) on our website to track actions visitors take after clicking on our ads. This helps us with statistical analysis of ad performance and to optimize future ad campaigns. The data collected through such pixels is anonymized to us – we cannot identify individuals from it – but the third-party (e.g. Meta/Facebook) may combine it with your profile if you are a user of their platform, and use it to provide you with targeted advertising according to their own privacy policies.   • Transactions and Payments (if applicable): In the event we offer paid services or products in the future, we would use personal information to process payments and fulfill orders or bookings that you make. (At present, our Site does not collect financial information, but this policy may be updated if such features are introduced.)
  • Legal Compliance and Protection: To comply with legal obligations or respond to lawful requests (such as court orders or government regulations), and to enforce our terms of service or protect our rights, privacy, safety, or property. This includes using and disclosing information as necessary to prevent fraud, security breaches, or other illegal activities.

We will not use your personal information for any purposes other than those described above without first obtaining your consent, unless otherwise permitted or required by law.

We treat your personal information as confidential. We do not sell, trade, or rent your personal data to third parties for their own marketing purposes. However, we may share or disclose information (only to the extent necessary) in the following circumstances:

  • Service Providers: We may share information with trusted third-party service providers who perform functions on our behalf. These include, for example, website hosting providers, email newsletter distribution services, analytics or advertising partners, customer relationship management tools, or other IT service providers. For instance, if we use an email marketing platform to send newsletters, your name and email address will be stored with that provider; or if we use analytics/advertising services, certain usage data may be processed by those providers.
  • Advertising and Analytics Partners: As noted, third-party tools like Meta (Facebook) Pixel may receive certain usage information from our Site for ad targeting and performance measurement. Similarly, if we use Google Analytics or similar analytics services, those providers will process usage data for analytics purposes. These third parties have their own privacy policies governing their use of the data. We do not share personally identifying information like your name or contact details with these advertising or analytics providers; they primarily receive pseudonymous data (such as cookie identifiers or aggregate statistics).
  • Legal Obligations: We may disclose personal information if required to do so by law or in response to valid requests by public authorities. For example, if we receive a subpoena, court order, or lawful request, or need to disclose data to meet tax or insurance requirements, we will comply as necessary. We may also share information when we believe in good faith that such disclosure is necessary to protect our rights, your safety or the safety of others, investigate fraud, or respond to a government request.
  • Business Transfers: If Struong Fitness is involved in a merger, acquisition, sale of assets, or other business transaction, personal information may be transferred to a successor or affiliate as part of that deal. This would be done in accordance with privacy law requirements. In the unlikely event of bankruptcy or insolvency, personal data could also be transferred as a business asset. In any such transfer, the receiving party will be obligated to handle your information in a manner consistent with this Privacy Policy.
  • With Your Consent: Apart from the cases above, if there’s ever a situation where we might need to share your information for some other purpose, we will explain it to you and obtain your consent before doing so. For example, if we plan to feature a client success story on our site using their personal details, we would only do so with explicit permission.

We want to be transparent about the third-party tools we use for analytics and advertising, as they may collect information via our Site:

  • Meta (Facebook) Pixel: We utilize the Meta Pixel (formerly known as the Facebook Pixel) on our website to help measure the effectiveness of our Facebook/Instagram advertising campaigns. This tool allows us to understand what actions visitors take on our Site after interacting with our ads on Meta’s platforms. For example, the Pixel may tell us that someone clicked on one of our Facebook ads and then filled out our contact form. This information is valuable for statistical analysis and ad optimization. Importantly, the data we receive through Meta Pixel is aggregated and does not identify you personally to us. We cannot see your individual Facebook profile or personal details. However, Meta may combine the information from the pixel with data you’ve provided to Facebook/Instagram to target ads to you and others on their platforms, in accordance with Meta’s Data Policy. In other words, Meta uses the pixel data to help us reach people who have shown interest in our Site and to find similar audiences. We do not control how Meta uses this data beyond our site, and we recommend reviewing Facebook’s privacy policy for more details on their practices.
  • Opting Out of Meta Pixel: If you prefer not to be tracked via the Meta/Facebook Pixel, you have options. If you have a Facebook account, you can adjust your Facebook ad privacy settings to opt out of certain ads or disable the “Custom Audiences” retargeting feature. (Go to your Facebook account settings > Ads > Ad Settings to control ads based on data from partners.) If you do not have a Facebook account or wish to generally opt out of interest-based advertising, you can use industry tools like the Digital Advertising Alliance’s opt-out page or the European Interactive Digital Advertising Alliance’s site (YourOnlineChoices) to opt out of targeted ads from participating companies. Keep in mind, even if you opt out, you may still see ads – they just won’t be personalized based on your interactions with our Site.
  • Google Analytics: We may use Google Analytics or similar analytics services to collect information about how visitors use our Site. Google Analytics uses cookies to gather data (such as your IP address, browser type, pages visited, time spent, and referring site) and reports website trends without identifying individual visitors. This helps us understand overall user behavior and improve our content. Google may store the analytics data on servers in the United States or other countries. Opting Out of Google Analytics: If we are using Google Analytics, you can opt out of its data collection. Google provides a browser add-on you can install to prevent Google Analytics from using your data (the Google Analytics Opt-out Browser Add-on). Additionally, you can adjust Google’s use of analytics and ads cookies via Google’s Ad Settings. We honor any such choices you make.
  • Other Third-Party Tools: We do not currently use other analytics or advertising tracking services beyond those mentioned. If we integrate new analytics tools, advertising networks, or social media plugins in the future, we will update this Privacy Policy accordingly and ensure that any personal information is handled in compliance with applicable laws and with appropriate safeguards. As of now, any third-party integrations on our Site (such as embedded videos, social media widgets, etc.) may set their own cookies to function, and those are governed by the privacy policies of the providers (e.g., YouTube, Instagram). We encourage you to review the privacy settings and policies on any such third-party services.

If you subscribe to our newsletter, download a free resource, or otherwise opt in to receive email communications from us, we will collect your email address (and possibly your name) to send you the requested content and periodic updates. We are committed to only sending commercial electronic messages (such as marketing emails) in accordance with your preferences and Canada’s Anti-Spam Legislation. This means:

  • Consent: We require a valid consent from you to send you marketing emails. Consent may be express (e.g., you explicitly sign up via a form) or implied in certain situations as allowed by CASL (for example, if you provided your email when inquiring about our services, we may for a limited time send follow-up information related to that inquiry). We keep records of when and how consent was obtained, in case verification is needed.
  • Content: Our emails will clearly identify us as the sender and will not contain false or misleading subject lines or content. They are meant to share useful fitness tips, news, updates, and promotions related to our personal training services. We do not share your email with third parties for their own email marketing.
  • Unsubscribe Option: Every marketing email from us will include an unsubscribe link or instructions to opt out. You can unsubscribe at any time by clicking the link in the email, or by contacting us directly with your request to be removed. Once you unsubscribe, we will stop sending you further promotional emails. Please note it may take a few days to process the removal, and you might receive any newsletter already in process during that time. There is no fee to unsubscribe.
  • Compliance: We have measures in place to ensure compliance with CASL and other relevant regulations. If you believe you have received an email from us without consenting, or have any concern about our email practices, please contact us (see Contact Us below) and we will promptly address the issue. We respect your inbox and your privacy.

We will retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required or permitted by law. This means: if you contact us or become a client, we may keep relevant information for as long as you are using our services or as needed to provide you with services, and thereafter for an appropriate retention period. For example, we may retain correspondence (emails or contact form entries) for some time in case you return or have follow-up questions. If you have subscribed to our newsletter, we will keep your contact information on our mailing list until you unsubscribe or ask us to delete it.

When we no longer need personal information for the purposes stated, we will securely delete or anonymize it. In certain cases, we may have to keep data longer if laws require (e.g., maintaining transaction records for tax purposes) or if needed for legitimate business interests such as record-keeping or security. Even then, we will limit access to the data and ensure it’s kept safe. For automatically collected usage data, we generally retain it for a shorter period; it may be purged or aggregated after it’s no longer needed for analysis. We periodically review the data we hold and erase or anonymize personal information that is no longer necessary. As a general principle, we do not retain personal data indefinitely without justification.

We want you to remain in control of your personal information. Subject to certain legal limitations, you have the following rights and choices regarding your data:

  • Access and Correction: You have the right to request access to the personal information we hold about you and to ask for corrections or updates if any of that information is inaccurate or out-of-date. For example, if you believe we have the wrong email address for you, you can ask us to correct it. We will require verification of identity to release or change any personal data, to ensure privacy and security.
  • Withdrawal of Consent: If you have given consent for any optional data processing (such as receiving marketing emails), you have the right to withdraw that consent at any time. You can unsubscribe from our emails as described above, or contact us to indicate that you no longer consent to a particular use of your information. Withdrawal of consent will not affect the lawfulness of any processing done prior to your withdrawal, and it may not affect processing that doesn’t rely on consent (for example, processing under a legal obligation).
  • Opt-Out of Marketing: As noted, you may opt out of marketing and newsletter communications at any time. Once you opt out, we will stop using your contact information for promotional purposes. There is no penalty or impact on our core service if you choose not to receive marketing messages – you will still receive any essential communications (for example, messages about an ongoing training session or billing, if relevant).
  • Cookie Choices: You can manage cookies through your browser settings. You can also use browser extensions or privacy tools to block trackers. See Cookies and Tracking above for more on how to control cookies and the possible effects of doing so. Additionally, you can use industry opt-out sites (like the NAI opt-out page or YourOnlineChoices) to opt out of many advertising cookies at once.
  • Data Portability: If applicable, you may have the right to request a copy of personal information you provided to us in a structured, commonly used electronic format, so you can transfer it to another service provider. (This right is more relevant in jurisdictions with specific laws like the EU’s GDPR; however, if you require a copy of your data, we will do our best to accommodate).
  • Deletion (Right to Erasure): You may request that we delete personal information we hold about you. We will honor such requests to the extent possible and lawful. Note that in some cases we may need to retain certain information for legal or administrative reasons (for example, records of transactions or communications). If we cannot fulfill a deletion request, we will explain why (e.g., if it conflicts with a legal requirement to retain data).
  • Challenge and Complaint: If you have concerns about our handling of your personal information, you have the right to contact us for clarification or to challenge accuracy. We will investigate and respond to any privacy concerns you raise. For Canadian residents, if you are not satisfied with our response to a privacy complaint, you may contact the Office of the Privacy Commissioner of Canada or the relevant provincial privacy commissioner (for example, the Office of the Information and Privacy Commissioner for BC) for further guidance or to file a complaint.

To exercise any of these rights, please contact us using the information in the Contact Us section. We will respond to requests within a reasonable timeframe and in accordance with applicable law. Please note that for certain requests (access, deletion, etc.), we may need to verify your identity to ensure we are protecting your information from unauthorized access.

Our Site may contain links to external websites or incorporate services from third parties (such as embedded videos, social media features, or payment processors in the future). If you follow a link to a third-party website or use a third-party service through our Site, please be aware that these external sites have their own privacy policies, which may differ from ours. We do not have control over and are not responsible for the content or privacy practices of those third-party sites. We encourage you to review the privacy policies of any external websites or services that you interact with. This Privacy Policy applies solely to information collected by Struong Fitness through our own website and services.

For example, if we provide a link to a fitness product or a partner’s site, clicking that link means you will be subject to that site’s policies. Or, if you choose to share our Site content on social media via a plugin, your interactions with that platform (like Facebook or Instagram) are governed by the platform’s privacy terms. We are not responsible for how those third parties collect or use your data, so please use caution and read their policies if you leave our Site.

We take reasonable measures to protect the security of your personal information. We implement industry-standard security practices – such as encryption of data transmissions (our website is served over HTTPS with SSL encryption), secure servers, and access controls – to safeguard data against unauthorized access, alteration, disclosure, or destruction. We also restrict access to personal information to those employees or contractors who need to know it for the purposes described above, and we ensure they are obligated to keep your information confidential.

However, please be aware that no method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your personal data, we cannot guarantee absolute security of information, and any transmission of data to us is at your own risk.
